I changed the paper purchase procedures to purchase them by the box - I use
the boxes as archives for any paper associated with a product. Most of the
doco is electronic - if it is duped on paper I destroy the paper. Doco is
kept in VSS with 'every' version intact, if the dev of the product has
completed I send it to an archive disk on the server, which when full gets
backed up onto CD's and cleared.

If the dev hasn't completed - eg next version planned - it stays put and
gets added to.

Archived materials are kept out of sight in unlocked cupboards. Unless you
start talking a type c container or better, its pointless locking them
anyway unless its to stop casual internal interference. Secret documents can
be another kettle of fish - you have to determine threat levels and exposure
for your org yourself.

Details of copies of secret documents are kept in a register, and must be
signed off to be destroyed.

As for 'signing out' docs - its either a document change request of some
sort or a need to view. If they have a need to view the document, I query
whether the distribution of the document should include that user. Online
distribution is via OS file permissions, hard-copy by physical storage
location access restrictions.

Where do you keep your paper documents once they have
been signed-off on? Do you keep them in a file at
your desk? If not, what location do you keep your
paper docs in?

How many of you use a standard locked file cabinet, or
a reinforced lock outside of the cabinet?

What sort of procedure do you use for the signing out
of documents?

For those of you who store documents electronically,
which method works best for you? Do you use any sort
of version control?
