My suggestion:

Use a cross-functional flowchart. A cross-functional flowchart breaks a process down very well. It provides an organized illustration of the workflow and the functional positions who are involved with each step in the workflow. If you have Visio or access to Visio, there is a simple cross-functional flowchart stencil (similar to the general concept of a template) that you can use to create a cross-functional flowchart.
