Maybe you've already tried this route, but if you can, train them to
edit in Acrobat. :-) If you've got Acro 7/8, they can mark up and review
using Reader 7/8. Then they can add comments to their heart's content
without adding to the page count -- in fact, they have infinitely more
space to add comments than they would have on paper.
It's a paradigm shift for many people, and we went through it here. Send
them PDF copies only - NEVER give them paper copies. (Sending
electronically by mail, with return receipt turned on, also creates a
record trail as to when they got the copy.)
Encourage the SMEs to edit online, offer to show them how, but also say
that you'll accept hard copy markups. (Leave it to them to print it out
if they want.) It took a while, but the majority of edits we get back
now from SMEs are electronic.
Benefits:
- paperless
* no paper printed out
* no paper to store in your archives
* easy to archive electronically and refer back to if there's a
question in the future
- comments from multiple reviewers can be merged back into a single
file, and the writer can mark off online if they've completed a change
or they can add comments/questions. Also allows writer to easily see if
they've gotten conflicting changes from reviewers (that NEVER happens to
us, does it?)
