I don't want the colon displayed in the x-ref. I want it to be as shown in
Figure 1 <my text here>. How can I do that in Word or am I limited to using bookmarks and hyperlinks?

Hi Tammy,

I'm not sure if your method can be made to work or not. But what I do in Word is define an un-numbered style, "Figure Caption", and then put my numbering in the caption's text itself as a field code. When I expand the field code in the line, it looks like this (without the quote marks): "Figure { SEQ Figure \*ARABIC \* MERGEFORMAT }. <tab-char> <My-figure-caption-text>".

Remember that the brackets and everything in-between is the field code, so don't just type it in; instead, do this:

1. Use the Insert > Quick Parts > Field > Seq actions from the ribbon/tabs.

2. Type in the Identifier. (My method relies on using "Figure" so that it's an available Reference Type when you later insert the xref. Word doesn't seem to enable using custom identifiers and have them show up as an xref type.)

3. Click Options to choose a format ("1, 2, 3" results in the "\*ARABIC" switch in my example).

4. Make sure that the "Preserve formatting during updates" is selected (results in the "\* MERGEFORMAT" switch in my example.

In your case, you'd want to type the colon instead of the period that I have after the field code.

Then to insert the xref, choose Insert > Cross-reference > Figure, and then you can select the which parts (caption, label, number, page, etc.) to include.

HTH,
-Monique
