I would look at Basecamp (http://basecamphq.com/)or a similar tool--the Basecamp product doesn't provide templates, but some of the others in the 37 Signals product suite may. Nonetheless, I've used Basecamp at several gigs, and it's a pretty good project management tool, where trip reports and meeting agenda and minutes are often posted for other team members.
