I'm assuming from your description of the problem that you are using
some version of MS Word?

If so, the problem lies in the fact that you are not sending a copy of
the template along with the document.

Once the recipient is in possession of both the document and the
template, s/he can then use the "file/template/attach..." command to
attach the document to this template, thereby preserving the doc's
styles, formatting, etc. (They should make sure the "Automatically
Update Styles" box is checked, btw.)

You also mentioned that this template contains a lot of macros; if these
are macros that your recipient(s) might have need to use, you might want
to double-check to ensure that they have indeed been saved specifically
to this particular template and not to normal.dot.
